For incentive groups and congresses, nine to twelve months is comfortable. Gorilla permits, Serengeti camps in migration season and exclusive-use resorts should be held even earlier. We can work to shorter timelines — tell us what you have.

From a twelve-person board retreat to a four-thousand-delegate congress. Above about 150 guests we usually recommend exclusive-use properties, which changes the programme structure considerably.

Yes. As a PCO we run the full delegate journey: registration platform, abstract submission and review, badging, on-site accreditation and the final delegate report.

Regularly. Gorillas in Rwanda, the Mara in Kenya and a Zanzibar finish is one of our most requested combinations. One contract, one operations team, one invoice.

A deposit confirms services, with a payment schedule set out in your proposal. We invoice in USD by default and can accommodate EUR or GBP on request.

Every programme carries a written risk assessment, a 24-hour duty phone and medical evacuation arrangements. Comprehensive travel insurance including evacuation cover is a condition of travel.
